Overview
Many courses have more than one qualification option for participants. Booking Rooster software allows you to cover all possible qualification outcomes for participants. To achieve this and ensure that course participants are correctly certificated, qualifications need to be set up for each ticket type, describing which component qualifications or Unit Standards are associated with that ticket type.
Booking Rooster sets up the majority of your qualifications on your platform right from the start. However, you may wish to add or edit these, and this guide covers the steps:
Add the qualification components
Attach the qualification to new or existing ticket types

Add a Qualification
- Log in and open Organisation > Qualifications.
- Click the Add New button, which takes you to the Add Qualification screen. [Or, if editing a
qualification, click on the qualification name from the list, then edit the information as in
steps below] - Enter the Name of the qualification. This is the name that will go on certificates. e.g. First Aid
at Work. - Add a Display Name - this needs to be a unique name – it is the name used to identify
the qualification in drop-down menus and is seen only by organisers. e.g. First Aid at Work –
No Unit Standards - Add a Renewal Name if applicable to the qualification. This is the name that would be used in renewal reminders.
- Choose the type of Certificate associated with the qualification by using the drop-down menu.
- Use the Description box (if this option is switched on in your certificate set-up) to enter any other information that you need on the certificate. As this wording goes directly on to the certificate, take care with the wording and ensure that the description is kept brief.
- Expiry date is for qualifications which need to be renewed. If not needed, enter 0.
- Check that Status is Active.
Setting up the components of the qualification
The next part involves setting up all the Unit Standards or components of the qualification in the Components box, following directly on from the steps above.
If you offer Unit Standards we strongly advise opening the NZQA website so you can check the correct names of each standard you are adding as it is important that the correct information appears on your certificates. Because participants need to pass all standards/components to be issued a certificate, it is important that each qualification is set up with the right parts.
For Unit Standards
- Choose the Unit Standard from drop-down menu then click Add.

If the standard is not in the drop-down, enter the Code and Name of the standard. Use the
NZQA standards webpages to check name and code number are correct. Ideally enter the version. The Abbreviation section is normally only needed when you are also issuing another qualification such as a driver licence or endorsement. Then, click Add New. - Repeat this process until every standard associated with the qualification is listed.
- Click Apply.
For components of the qualification which are not Unit Standards:
- Untick the box Is Unit.
- In the Code box, enter the name of the component, then choose Add New. It is important to ensure the name of the component is in the Code box as this is what will display on course information.
- Repeat this process until every component associated with the qualification is listed.
- Click Apply.
Attach the qualification to a new or existing ticket type
As stated earlier, because participants need to pass all standards/components to gain the
qualification, it is crucial that each ticket type matches exactly the qualification that it applies to. To attach a qualification to a ticket type, we either set up a new Ticket type or edit a ticket type then attach the qualification.
- Start in Organisations > Ticket Types, and click the Add New button. [Or, if editing a
ticket type, click on the ticket type name from the list, then edit the information as in
steps below] - Enter in Name of ticket type e.g. First Aid at Work
- Choose Qualification from drop down – this is the Display name you created in Step 4 above.
e.g. First Aid at Work – No Unit Standards. - Choose when this qualification will apply to the Ticket Type: for future tickets of this type;
for future and existing tickets of this type; or for future courses only. - Check that Status is Active.
- If you require attendees to provide answers to pre-set questions when they register, the final step is to choose your Custom Attendee Questions.
- Click Apply.
Certificate Template set up
When qualifications are set up correctly, applied to ticket type and the ticket type applied to right tickets, you are ready to apply the correct qualifications to certifications. For information on how to set up certificates, please refer to our Certificates guide.
