This report is available on request for Booking Rooster clients on all service plans. It is designed to allow you to download data for any time period - usually one year. - and paste it into your AF02 report for NZQA audit report purposes. This article covers:
Report Content
This report includes consists of 5 columns:
- Unit Standard number - not needed for the AF02 but a useful quick reference for admins.
- Course name - this comes from the 'name' field of the unit in your qualifications
- Total credits for the course - this field is blank. Simply enter the credits into your AF02 worksheet.
- Number of students - this is calculated for you. It is the sum of the number of students marked as achieved in the selected time period. Note that:
- If your assessment kiosk has an 'Assessment Date' field, it will include all people who were marked as achieved with an assessment date within nominated time period.
- If you kiosk does not have that field it will include all people who were marked as achieved on courses ending within the time period.
Set-up Process
There are two steps to having this report set up. They can be done in any order.
- Check whether your unit standards have the correct 'names'. These are what feed into your AF02 report. You can commission Booking Rooster to do this for you if preferred, but we recommend you attempt this yourself. Here's how to take the DIY rate:
- Go to the Organisation Tab
- Select the Qualifications Menu
- Click on the name of each qualification
- Scroll to the bottom to see what the components of the qualification are. Check for the following. You can do all three of these checks at once when you get the hang of it:
- Check that the words (Unit) show in grey at the end of the component listing for all components that include a unit standard. If it does not, click EDIT, check the Is Unit box and SAVE.
- Check that the words (Component) not (Unit) show for all components that do not include a unit standard. If any non-unit standard components are marked as units, click EDIT, un-check the "Is Unit" box and SAVE.
- For each component that is a unit check that the name showing is exactly correct for the unit standard. If it is not click EDIT, change it and SAVE.
- Repeat for each qualification in your list. Once you have edited a unit or component within one qualification you will see that it automatically changes on all other qualifications that use that component.
- Email support@bookingrooster.co.nz asking for the Assessment AF02 Report to be added. Response will be faster if you specify whether or not you have the assessment date field in your kiosk and confirm that you have checked and edited your qualification set-up before sending the request.
Running this report
To run this report simply:
- Go to the Reports Tab
- Click on the Assessments AF02 Report
- Choose the date range*
- Click SHOW or EXPORT as CSV (We like to show first, check it on screen then click EXPORT CSV).
This report is optional. If you do not see the report please follow the set-up process.
* The date range will be the Assessment date entered in the kiosk or quick edit if you have that field. If you do not have that field it will be the course end date.
