Contacts are created in a number of ways (e.g. manually, via an imported spreadsheet, or automatically added when someone makes a booking). The automatic creation of contacts will depend on your configuration. Bookers are always auto-added to contacts. Ticket holders may or may not be added to your contact list depending on your configuration.
Here's how to create a new contact manually:
- Go to Contacts > Organisation Contacts.
- Choose Add New.
- Complete First Name, Last Name and Email - this is the minimum information required.
- Complete any other fields that you wish.
- If the contact wishes to be subscribed to email invites you must tick the This contact wishes to receive invitations box.
- Click Add.
- This contact is now available in all drop-down lists when adding bookings. If they are subscribed they are also available in the 'all contacts' list in the marketing tab. If you also add them to groups, they will be available in your selected groups when using the marketing tab.
The fields that appear in your contact records will be driven by your site configuration. Please contact support@bookingrooster.co.nz to request fields be added. The range of fields that can be added to the contact record depends on your service plan. If the fields are custom fields set-up fees will also apply.
If fields are not completed when the contact record is created, and are later added during a booking the data will be stored and available in contacts. You can also return to a contact record at any time to add more details. You will need to edit a contact if you wish to add Booking Notes that will display to the organiser when a particular contact is selected.
