Booking Rooster software comes standard with a good range of fields that cover the needs of the training and events sectors in New Zealand. You may need custom fields to support your own existing business processes - especially if you operate multiple branches or specific requirements for accounting or reporting purposes. Addition of custom fields normally involves
- specification by the Booking Rooster process architect
- implementation by a senior programmer
- documentation by a junior programmer
The reason this full process is needed is that it is important to identify exactly where each field appears. This includes defining:
- If it relates to course or event creation:
- Whether it appears in quick create
- Which, if any reports it shows on
- Whether it is shown in the kiosk
- Whether it appears on certificates (if this feature is added)
- Whether it appears on report cards (if this feature is added)
- If it relates to specific bookings:
- Who can enter data in this field - bookers, organisers, trainers?
- Who can see the data - organisers, trainers?
- Whether it is compulsory during booking
- Whether it appears on invoices and/or the booking details report
- What reports and in what position and format it appears on reports
- Whether it feeds through to Xero or MYOB (if integrated)
- If you have integrations with Mailchimp, Capsule CRM or other programmes, whether it impacts them.
