What it does
Course Lifecycle Management helps training organisations manage courses from initial scheduling through to final administrative completion.
The feature provides visibility of courses that have not yet reached minimum numbers, supports decisions about whether courses should proceed, and helps organisations track post-course administration through to completion.
It is particularly valuable for organisations managing large numbers of public courses, multiple administrators, quality assurance processes, certification workflows, or complex invoicing requirements.

How it works
Each course is assigned a lifecycle stage.
Administrators can use these stages to understand where a course sits in its journey, from initial scheduling through to final administrative completion.
The exact stages available are configured during setup and may vary between organisations.
Managing courses before delivery
One of the most common uses of Course Lifecycle Management is identifying courses that have not yet reached minimum numbers.
Courses that have not reached their minimum occupancy can be marked as Pending.
Administrators can then use the dashboard filter to display all Pending courses, making it easy to focus attention on courses that may require additional marketing, consolidation, rescheduling, or cancellation.
The word Pending is also displayed in yellow within Courses > Course Listing, making these courses easy to identify.
Managing courses after delivery
Course Lifecycle Management is also used to track post-course administration.
Many organisations continue processing activities after a course has been delivered, including:
- Quality assurance checks
- Qualification registrations
- Certificate issuing
- Reporting activities
- Customer invoicing
- Compliance administration
Once all required activities have been completed, the course can be moved to a Closed stage.
The word Closed is displayed in red within Courses > Course Listing, making it easy for administrators to identify completed courses and confirm that all administration has been finalised.
Relationship between Stage and Status
Course Lifecycle Management uses stages alongside Booking Rooster's existing course status settings.
If a course stage is changed to Cancelled, the course status is automatically changed to Inactive.
If the course stage is subsequently changed from Cancelled to any other stage, the course status is automatically changed back to Active.
This helps ensure that course availability accurately reflects operational decisions.
Reporting
During setup, clients can choose which reports should display lifecycle information.
The most commonly selected reports are:
- Occupancy Reports
- Invoice Reports
Additional reports may also be configured depending on the organisation's reporting requirements and any custom reports already in use.
Availability and Pricing
Course Lifecycle Management is available on:
- Middle Weight plans
- Heavy Weight plans
A one-off setup fee applies.
During setup, Booking Rooster will configure the lifecycle stages, dashboard filters, course listing indicators, and the specified reports.
