Hard Stop Credit Enforcement is an add-on feature available to Booking Rooster clients on the Advanced Partner Programme.
It helps reduce credit risk by preventing customers with overdue balances from making new bookings until their account has been cleared.
Unlike standard payment controls, this is a hard stop. A customer placed on Stop Credit is stopped early in the booking process, before they can enter ticketholder names or reach the payment stage. They must first resolve their outstanding balance with your Accounts Team before they can book again.
What the feature does
The Hard Stop Credit Enforcement feature gives you stronger control over customer accounts that are in arrears.
When a customer or partner account is marked as Stop Credit, the system blocks further bookings from proceeding. This applies across booking paths, including online bookings, administrator bookings, and draft bookings.
This means customers cannot bypass an outstanding account balance by choosing a different payment method or by contacting staff directly.
If you want to allow customers to continue making new bookings without first clearing their existing balance, the customer should be set to Credit Card Only rather than Stop Credit. Credit Card Only allows new bookings to proceed where payment is made at the time of booking, while Stop Credit is intended as a full booking block until the outstanding balance has been resolved.
For customers, the system displays the following message, which includes a link to the Accounts Department on the email address you specify in your brief and that Booking Rooster add to the email_accounts variable in your Site Configuration:
Your account appears to be on stop-credit. You will need to clear your balance and contact the [Organisation Name] accounts team before you can book. If you believe this block has been placed in error, please also contact our Accounts Department.
For administrators, the system displays the following internal warning when they try to make a booking for a customer on Stop Credit:
This account is on stop-credit. Bookings cannot proceed — including credit card bookings.
Benefits for your organisation
Hard Stop Credit Enforcement helps you manage overdue accounts by removing the option for customers in arrears to continue making new bookings.
Without a hard stop, customers with overdue balances may still be able to book and pay for new training by credit or debit card. While the new booking is paid for, the older balance can remain unpaid, giving the customer little incentive to clear their account.
Hard Stop Credit Enforcement closes this gap by blocking further bookings until the overdue balance has been resolved.
This helps you:
- prevent customers in arrears from making further bookings
- stop overdue customers from bypassing account controls
- reduce unpaid invoices and credit risk
- support clearer internal credit-control processes
- reduce manual follow-up for your Accounts Team
- give administrators a clear system message when bookings cannot proceed
- provide customers with clear instructions on how to resolve the block
- distinguish between Credit Card Only customers and customers who should be fully blocked from booking
How changes are managed
The Hard Stop Credit Enforcement feature is available as an add-on to the Advanced Partner Programme and requires a set-up fee.
Once implemented, standard updates to Stop Credit customer or partner-account settings can be included in your monthly change spreadsheet at no additional charge.
Urgent Stop Credit changes can also be requested. These are normally completed within one business day and are subject to a change request fee.
Summary
Hard Stop Credit Enforcement gives you a stronger way to manage customers with overdue balances.
By blocking all new bookings for customers on Stop Credit before they can enter ticketholder names or proceed to payment, the feature helps ensure outstanding balances are resolved before further training can be booked.
